There is a
scanner connected to System 14 in room 435. It is a Fujitsu 4220Cdj, a
scanner which combines a standard flatbed scanner with an auto document
feeder (ADF) for rapidly scanning multi-page documents. Various
programs are installed on System 14 which allow documents to be scanned
to create various types of files, including PDFs, JPEGs, TIFFs, and
Word documents.
The ADF can hold 25 pages at a time. Documents should be
placed face down with the top of the document closer to the floor. The
flatbed only takes one document at a time, but is useful for scanning
photos and other documents which cannot go in the ADF. Documents in the
flatbed should be placed face down with the top of the document along
the edge farthest away from the hinge of the scanner lid.
Creating an image file
If you want to
create an image, such as a JPEG or a TIFF file, run Paint Shop Pro.
There should be an icon for this program both on the desktop and on the
Start Menu. Once the program window appears, select File from the menu, then click on Import, then TWAIN, then Select Source.
Highlight the source called "FUJITSU fi-4220Cdj 9.11 (32-32)" and click
the "Select" button. You only need to do this once, even if you plan to
scan several documents.
Next, place the first document or picture which you wish to scan in the ADF or on the flatbed.
Select File from the menu, then click on Import, then TWAIN, then Acquire.
A window will appear which lets you set several options regarding the
document being scanned. In general, the defaults are fine. However, be
sure to set the correct Image Mode, most likely 24bit Color (for color
documents), Greyscale (for black and white pictures or graphics), or
Black & White (for text). Set all other options as you see fit.
Once you have set all of the options you wish to set, press the "Scan"
button in the lower left corner. The scanner will then scan your
document. To save the scanned image, select File and then Save from
the menu.
Creating a text document
If you want to
create a text document or a Word document, then you need a program which can do Optical Character Recognition, or OCR.
Omnipage 15 is the OCR software installed on System 14.
The basic process for digitizing a document using Omnipage is the following:
Step 1: Set the appropriate scanning options and then scan the document.
Step 2: Define regions of text, images, or tables in the document.
Step 3: Proofread the converted text or tables.
Step 4: Save the results.
Creating a PDF
If you want to create a PDF
document, you have two options. One option is to use the OCR software to create a Word document, then use the Adobe Acrobat
buttons in Word to convert that Word Document to a PDF. You can print to the printer called "Adobe PDF" in Word to get the
same results. Alternately, you can use Adobe Acrobat. There should be
an icon for this program both on the desktop and on the Start Menu. Once the program window appears, click on the "Create PDF"
button. This will bring up a menu. Select "From Scanner" from the menu. Choose "FUJITSU fi-4220Cdj" from the "Device" menu.
You can change various other options as well. For example I would recommend unchecking "Recognize Text Using OCR" most of the
time as this is unnecessary.
Next, place the first document or picture which you wish to scan in the ADF or on the flatbed.
Then press the "Scan" button.
Once you have pressed Scan, a window will appear which lets
you set several options regarding the document being scanned. In
general, the defaults are fine. However, be sure to set the correct
Image Mode, most likely 24bit Color, Greyscale, or Black & White.
Set all other options as you see fit. Once you have set all of the
options you wish to set, press the "Scan" button in the lower left
corner. The scanner will then scan your document.
When the scanner has finished, a small window will appear. If you want to add another page to the PDF file, click
on the "Next" button and put the next document or picture on the scanner lid. Otherwise click "Done". To save the PDF which you
have created, select File and then Save from the menu.
